RouteMetrics.ai — Privacy Policy

RouteMetrics.ai is a product provided by Route Metrics Ai LLC ("Company," "we," "our," or "us") for fleet management, accounting, and financial-data tools. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you access RouteMetrics.ai websites, dashboards, mobile apps, APIs, or other online services that link to this Policy (collectively, the "Services").


1. Scope

This Policy applies to information we process while operating in the United States for U.S.–based business customers. It does not cover third parties acting as independent controllers (for example, brokers that pay you or outside accounting tools you connect).

If you decline to provide information or permissions needed to connect an account, the related account-aggregation features will be unavailable.


3. How We Use the Information

We use information to:

  1. Deliver the Services – connect financial accounts, reconcile transactions, record payments, generate analytics, and more.
  2. Comply with applicable law, tax reporting duties, and valid legal requests.
  3. Maintain security & improve – detect fraud, debug, enhance features, and run analytics.
  4. Communicate – send transaction alerts, service notices, and respond to support inquiries.
  5. Market (with opt-out) – send product updates or surveys where permitted.

Legal bases include contract performance, legitimate interests (fraud prevention, product improvement), and legal compliance; we request consent when required.

We do not sell personal information.

We do not send data obtained from QuickBooks Online to an external generative-AI provider or use it to train a shared AI model. We limit connected accounting data to the company and authorized users that connected it, except where disclosure is required by law.


5. Cookies

We use essential and optional cookies to:

  • Authenticate sessions;
  • Remember preferences;
  • Measure site usage;
  • Provide limited interest-based marketing.

You may disable non-essential cookies in browser settings; essential cookies are required for secure functionality.


6. Data Retention

Data is retained:

  • While your account remains active;
  • While an accounting integration remains connected and as needed to provide the accounting records you chose to import;
  • As long as needed for purposes in this Policy;
  • As required by applicable accounting, tax, or other laws.

When you disconnect an integration, we stop collecting new data and delete its active authorization credentials. Imported accounting records are deleted or anonymized when you delete them or close your account, unless retention is required by law or requested by your company administrator. Residual backup copies expire under our documented backup-rotation schedule.


7. Security

Safeguards include:

  • TLS encryption in transit and encryption at rest;
  • Dedicated authenticated encryption for integration credentials;
  • Role-based access and multi-factor authentication;
  • Sensitive-log redaction, dependency review, and vulnerability remediation procedures.

No internet transmission is perfectly secure; please use strong credentials and enable multi-factor authentication where offered.


8. Your U.S. Privacy Rights

  • California residents (CCPA/CPRA) may request access, deletion, correction, or limitation of certain data, and opt-out of cross-context behavioral advertising.
  • Other U.S. states may grant similar rights; we will honor valid requests where applicable.

Submit requests at info@routemetrics.ai. We will verify your identity before fulfilling certain requests.


9. Children's Data

Company targets businesses, not children. We do not knowingly collect data from anyone under 18. Contact us if you believe a minor has provided data so we can delete it.


10. Third-Party Links

The Services may link to third-party sites or integrations. Their privacy practices are governed by their own policies.


11. Changes

We may update this Policy periodically. Material changes will be announced via dashboard notice or email at least 30 days before they take effect, unless immediate change is required by law.
